Getting Started: Preparing for your Auction

In addition to Assigning Bidder Numbers preparing for your auction involves printing your bid sheets for your silent auction, runner sheets for your live auction, item and package certificates for any items that were not donor provided, a bidder guest list, bidder registration labels, and finally bidder name tags. Below we will briefly cover printing these essential event night reports.

Printing Bid Sheets:

  1. From the Project Home, select View/Edit Packages under the Packages header.
  2. Click Show Advanced Search in the top right.
  3. Change the Package Type to Auction.
    • Alternatively, change Section to match your silent auction section.
  4. Click Search.
  5. Click Reports and Exports.
  6. Click Run on Grid Selection for the PKG-06
  7. Set up the options as you see fit, then click Next to generate your Bid Sheets.

 

Printing Runner Sheets: 

  1. From the Project Home, select View/Edit Packages under the Packages header.
  2. Click Show Advanced Search in the top right.
  3. Change Section to match your Live Auction section.
  4. Click Search.
  5. Click Reports and Exports.
  6. Click Run on Grid Selection for the PKG-07.
  7. Set up options as you see fit, then click Next to generate your Runner Sheets.

 

Printing Package Certificates: 

  1. From the Project Home, select View/Edit Packages under the Packages header.
  2. Click Show Advanced Search in the top right.
  3. Change the Certificate Type to Contain Software Printed Certificates.
  4. Click Search.
  5. Click Reports and Exports.
  6. Click Run on Grid Selection for the PKG-13.
  7. Set up the options as you see fit, then click Next to generate Package Certificates.

 

Printing a Guest List: 

  1. From the Project Home, select View/Edit Supporters under the Supporters header.
  2. Click the Saved Search drop down menu.
  3. Select the option for Bidders with Allocated Admissions.
  4. Click Reports and Exports.
  5. Click Run on Grid Selection for the BID-01.
  6. Choose which options you want on the report, then click Next to generate your Bidder List.

 

Printing Bidder Registration Labels/Name Tags: 

  1. From the Project Home, select View/Edit Supporters under the Supporters header.
  2. Click the Saved Search drop down menu.
  3. Select the option for Bidders with Allocated Admissions.
  4. Click Reports and Exports.
  5. Click Run on Grid Selection for the BID-09.
  6. Set up the options as you see fit, then click Next to generate your Bidder Registration Labels.
  7. Repeat for the BID-10 to print your Bidder Name Tags.
