Package Reports

Package reports can be used to print off Catalogs or listings, all sold Packages, and even your Bid Sheets. They can be accessed by viewing your Packages, applying any necessary filters, and clicking on the Reports and Exports button in the toolbar. From there you can choose which report you want to run with the filters you previously selected. Below, we will cover some of our most commonly used Reports and some filters for them.

Common Filters:

Here are some common methods for filtering our package reports. You can of course decide to filter the report however you’d like. Explore the Advanced Search area and discover what works best for you! Below, we show you how to filter by Section, Class, and Auction Type. These are our most common filters for our Package Reports.

  1. From the Project Home, select View/Edit Packages under the Packages header.
  2. Click Show Advanced Search in the top right.
  3. To filter by Section, use the Section drop down list and select as many or few sections as necessary.
  4. To filter by Class, use the Class drop down list to select as many or few classes as necessary.
  5. To only show Auction Packages, use the Package Type drop down menu and select only Auction Packages.
  6. After you have applied filters, click Search.pkg_rpt_1.jpg
  7. Click Reports and Exports in the toolbar to be taken to the Package Reports and Exports. It will automatically use the Search you just applied.

 

PKG-01:
The PKG-01 report is our standard Package Listing. It is best used as an internal listing of your packages. The default information shown is the Package Number, Section, Package Name, Multiple Sale, and Value. You can also add on the Package Description and Restriction, Minimum Bid, Minimum Raise, Guaranteed Purchase Price, Items in the Package, as well as Item Donors and any internal Notes about the Package.

PKG-02:
The PKG-02 is our standard Catalog report. It exports your package data as it has been entered into the Event Software Online into a printable Catalog for disbursement among your Supporters. It is typically filtered to show only Auction Type packages, as well as if your event has multiple Catalogs to only show one catalog at a time. This report has a lot of options. Checkable options include Description and Restriction, Package Value and Item Donors, Package Image and an optional Header Image (usually your Organization Logo),  as well as options for Section Name, Minimum Bid, Minimum Raise, Items in Package and custom labeling.

PKG-03:
The PKG-03 report is extremely useful for your organization when you want to determine what packages sold, for what price, and who bought them.  With a number of different options available in the settings, the most common filters applied to this report are show only Auction Type packages, and show only certain Sections. Within the report itself, you have options on how you sort the Buyers, either by Bidder Number or Bidder Name, Show Donors, Show Quantity, Show Value and Sale/Value Percent, Package Description and Restriction, Package Notes, and finally the Buyer’s Address (which includes physical address, phone numbers, and emails).

PKG-06:
The PKG-06 report is intended for quickly generating Bid Sheet’s for use at your auction event. The most common filter applied is showing only certain Sections, (if you have created separate Sections for Live and Silent Auctions), and only Auction Type packages.  The settings for this particular report are numerous, and designed to let you customize what information appears on your bid sheet. You have the ability to choose One or Two Columns, the number of bid boxes (the amount that fits on a single page is dependent on your Package Description length),  and the Section Name showing. Additional options include showing the Package Description and Restriction, showing the Bid Increments, Guaranteed Purchase Price (if applicable), and Package Value. You can also show the Donors (including just names, contact info, or with a label in front), any Items in the Package, and either the Package Image or a Header Image (commonly your organization logo). Finally, there are settings  which include fonts, margins, and labels/sizes for your bid boxes.
