Assigning Bidder Numbers

Assigning Bidder numbers is an essential (and yet so simple) part of your auction event. Bidder numbers tie sales to your Supporters the night of event, and are used in Online Bidding as well as traditional paper auctions. Assigning Bid Numbers can be done at any time, although it is best done prior to your event night in order to smooth the process of checking your guests in. Assigning Bid Numbers can either be done manually, or by an automated process while viewing your Supporters, and clicking the Assign/Clear Bid Numbers option in the toolbar. Below, we will cover both ways of Assigning Bid Numbers. 

Automated Assign/Clear Bid Numbers:

  1. From the Project Home, select View/Edit Supporters under the Supporters header.
  2. Click Saved Search next to the Search button and select Bidders with Allocated Admissions to configure the Advanced Search.
    • This will refresh your screen, showing only the bidders with allocated admissions.
  3. With your newly filtered grid list below, click the Assign/Clear Bid Numbers button in the toolbar.
  4. Choose to Generate or Clear Bid Numbers.
    • If you have already assigned some Bid Numbers, there will be an option to either Overwrite or Retain existing bid numbers.
  5. If Generating, choose the starting Bid Number and the Bid Number Increment.
  6. Choose how Households will be handled.
    • Greater Giving recommends the first option. Feel free to determine which option works best with your organization.
  7. Make a check to Consider All Bidders.
  8. Click OK to assign Bid Numbers.

Manually Assigning Bid Numbers:

  1. From the Project Home, select View/Edit Supporters under the Supporters header.
  2. Locate the Supporter you wish to Assign the Bid Number to (can be Household or Individual) using the Search bar.
  3. Click Edit for that Supporter.
  4. Select the Bidder tab.
    • If not already a bidder, make a check for Is a Bidder.
  5. Type in a Bidder Number, or make a check to auto-assign next available.
    • If in a Household, you can do this for as many Individuals as are in the Household.
  6. Click Save to save the Bidder Number you assigned.

Manually Removing Bid Numbers:

  1. From the Project Home, select View/Edit Supporters under the Supporters header.
  2. Locate the Supporter you wish to Remove the Bid Number from (can be Household or Individual) using the Search bar.
  3. Click Edit for that Supporter.
  4. Select the Bidder tab.
  5. Delete the Bidder Number from the Bidder Number field.
  6. Click Save to remove to the Bidder Number.
