Using Advanced Search

Often, the quickest way to find information from one of our grid lists is to use the Advanced Search feature. An Advanced Search on Supporters, for example, can allow you to restrict the grid to show only persons, households, or businesses. You can likewise restrict your grid to search for specific roles, and within each role narrow it further.

How to use Advanced Search:

  1. In the View menu, click the grid you would like to view (Example: View/Edit Supporters).
  2. On the grid page, click Show Advanced Search in the top right corner of the search bar.
  3. Choose the values by which you would like to search.

Saved Searches:

Saved Searches are a new feature of Greater Giving Online that provides your organization with some great tools for using our Advanced Search. Provided for you are Global Searches, essentially common searches that many organizations request. You can also make Custom Searches, so you can set up a search that your entire organization can make use of, even when volunteers come and go.

  1. From the Project Home, click View/Edit Supporters under the Supporters header.
  2. Click the Saved Search drop down menu.
  3. Here you can select either one of My Searches or a Global Search. The Advanced Search will automatically configure itself based on the search you have selected.

How to Search for Supporters by Admission Types:

  1. From the Project Home, click View/Edit Supporters under the Supporters header.
  2. Click Show Advanced Search in the top right corner of the search bar.
  3. In the bottom left, make a check next to Include Only Bidders Who.
    • If this does not appear, check to make sure Has Roles in this Project is not selected, as that limits your Advanced Search.
  4. In the additional fields that appear, use the drop down menu for Admission Types Allocated and select as many or few as you’d like
  5. Click Search back at the top of the search bar.

How to Search on Business, Person, or Households:

  1. From the Project Home, click View/Edit Supporters under the Supporters header.
  2. Open Show Advanced Search in the top right corner of the search bar.
  3. On the left hand side just under the Name bar, there are 3 checkboxes for Person, Household, or Business. Uncheck any you do not want to search on.
  4. Apply any other necessary filters.
  5. Click Search to search on applied filters.

Searching for Underpaid Supporters:

This is a common Advanced Search, as it directs you to Supporters that the system does not currently have full payments for. This could be because payments haven’t been entered, or they did not have a card on file when you did the Batch Card Charge. After doing this search, Greater Giving recommends printing the BID-03: Sales Listing by Supporter to see all the underpaid Supporters and their purchases/payments.

  1. From the Project Home, click View/Edit Supporters under the Supporters header.
  2. Open Show Advanced Search in the top right corner of the search bar.
  3. In the bottom left of the Advanced Search, make a check mark next to Search on Sales and Payments Info.
    • If this does not appear, check to make sure Has Roles in this Project is not selected, as that limits your Advanced Search.
  4. Some new fields appear. On the right hand side, towards the very bottom under the Payment-Specific header, make a check next to Balance Due: Underpaid.
  5. Scroll back to the top and click Search.
