Getting Started: Supporter Terminology
Greater Giving Online is the framework you need for running a successful event. Within that framework are your Supporters. Almost everything in Greater Giving revolves around your supporters. Sales, Payments, Donations, Staff, everything gets entered under a Supporter record. Therefore, Greater Giving recommends being very familiar with your Supporter database and how each record interacts with different areas of Greater Giving. Below, we cover the basics of Supporters.
Supporters in your database can have a role. A role is a classification or type of Supporter, and it’s possible to have more than one role in any given Project.
- Bidders: A Bidder is a Supporter that will be participating in your event as an attendee, a sponsor, or even a donor of cash. A Bidder role can be manually assigned, or assigned automatically when they meet certain criteria. See our article on Adding a Bidder Role for more information.
- Donor: A Donor is a Supporter that gave your Organization an item for sale during the procurement phase of your auction. A donor can be a family, an individual, or even a business. A donor role can be manually assigned, or is assigned automatically when they meet certain criteria. See our article on Adding a Donor Role for more information.
- Staff: A Staff is a Supporter that is typically closely associated with your organization. Despite the name, a staff role can be applied to volunteers as well. A staff role is designed to track solicitations of donors, sponsors, and even where they will be working the night of the event. A staff role can be manually assigned, or is assigned automatically when they meet certain criteria. See our article on Adding a Staff Role for more information.
- Sponsor: A Sponsor is a Supporter that is typically an integral member of your event. Whether they donated a large portion of money, paid for the venue, or even just bought a table of seats. A sponsor typically has an image associated with it, and will often be featured on your website. A sponsor role can be manually assigned, or is assigned automatically when they meet certain criteria. Supporters have more than just their roles, they also have a database of contact information that you can fill in. Most of this information can be easily seen via your View/Edit Supporters, although it all pulls into our reports and exports. Below, we cover the primary areas of Editing a Supporter.
- Supporter Name: This tab allows you to populate the Supporter’s First, Middle, and Last We have also included fields for Titles, Suffixes, and Job Title. There are a number of auto-filling fields in this area, which can be manually set by using the icon.
- Postal Address: This tab can store a Supporter’s address of choice. There is a drop down for Work, Home, Mailing, Physical, or Other. Each Supporter can have only one type of address listed. This is in addition to the standard Address 1, Address 2, City, State, Postal Code, and Country. If you are editing a household, you can have addresses for both members and the household, or the members can share the household address.
- Contact Info: This tab is where you can specify the Supporter’s Home, Work, and Mobile Phone as well as which should be the Primary number (this only affects certain reports). Also in this area is fields for FAX, Email, and Supporter Opt-Out/In If you are editing a household, you can have contact information for both members and the household, or members can share household contact info.
- Sales Summary: This tab is a brief, at a glance view for a Supporter’s sale list, broken down by package type. It can also let you know when a Supporter is underpaid, and what tickets have been allocated to them.
- Supporter Basics: This final tab is where you can see miscellaneous information about a Supporter. It has fields for Alternate ID (for syncing back to another database), Last Attended Date, Company Name, Matching Gifts, Contact For, URL, Supporter Image, Notes, and a check box for whether or not the Supporter is Archived.
